This privacy policy explains how the personal information that is collected through the Site or when providing you with our services is used by Renewi.

We are Renewi UK Services Limited and our registered office in the UK is Dunedin House, Auckland Park, Milton Keynes MK1 1BU (“Renewi”, “us”, “we” or “our”). We are a controller of the personal information used by this Site and for the purposes of the General Data Protection Regulation 2016/679 (the “GDPR”) and for some purposes we are a processor. Where we are a controller this means, in relation to the personal information you provide to us, we will determine why and how it is used.

When you use this Site or during the course of providing you or your business with our services we may collect your “personal information”.

You may contact us via email from the “contact us” link or by using our “contact us” form. When you do this you provide your name, email address and telephone number.

We use this information to respond to your query and/or deal with your request. Please only provide personal information that is necessary and relevant to your request.

Applying for a commercial vehicle permit

When you apply for a commercial vehicle permit the Site links through to www.renewiwakefieldpermits.co.uk, we collect your name, residential address, email address, telephone number, copy of a recent utility bill (or similar) as evidence of your residential address and vehicle registration details. We use this personal information for the purpose of administering the commercial vehicle permit and monitoring visits to the recycling centres.

Applying for a residential permit

When you apply for a residential permit at www.renewiwakefieldpermits.co.uk, we collect your name, residential address, email address, telephone number, copy of a recent utility bill (or similar) as evidence of your residential address. We use this information for the purpose of administering the residential permit and monitoring visits to the recycling centres.

Booking an asbestos disposal appointment

When you book an Asbestos disposal appointment at www.renewiwakefieldasbestos.co.uk, we collect your name, residential address, email address and telephone number, and your vehicle registration details. We use this information in order to book your appointment for asbestos disposal at the recycling centres. When you attend your appointment we ask that you bring a recent utility bill (or similar) as evidence of your residential address. We do no store a copy of this information and it is used for verification purposes only.

We will notify you separately if we process your personal information for any other purpose and, if required, ask for your consent.

Personal Information collected by automated means

When you visit this Site we automatically collect yourIP address and other non-personal information via cookies. We use this information for the purpose of analysing use of the Site, administering the Site, and for improving Site functionality. CCTV

Some of our recycling sites have installed CCTV for the purposes of public and staff safety, crime prevention and detection, and the abuse of the facilities provided. CCTV is also installed on the outside of some of our buildings for the purposes of monitoring building security and crime prevention and detection.

In all locations, signs are displayed notifying you that CCTV is in operation and providing details of who to contact for further information about the scheme.

Images captured by CCTV will not be kept for longer than necessary. However, on occasions there may be a need to keep images for longer, for example where a crime is being investigated.

Transfer of personal information

Renewi may from time to time transfer some of the information collected to our other offices, affiliates, agents or appointed representatives within the European Economic Area (“EEA”); Renewi will ensure that your privacy rights are protected and that the information is transferred in accordance with applicable data protection laws. Currently, we do not transfer any personal information outside of the EEA, however, if this changes we will let you know by updating this privacy policy.

Sharing personal information

Where your personal information is shared with other Renewi group companies, they will only use your personal information for the purposes for which it was originally collected and in a manner consistent with this Privacy Policy and all applicable data protection laws.

Renewi may disclose your personal information to third parties for legal reasons such as to comply with the requests from law enforcement or other agencies e.g. the Environment Agency, enforce or apply our Terms of Use for the Site, protect our rights and those of our users, to insurers or with your consent. In such cases we will only disclose personal information where it is necessary and will ensure that appropriate steps are taken to protect your personal information.

Renewi may also share your personal information with third-party service providers when necessary to fulfil the services they provide such as cloud hosting, software, system, website support and data analytics. These third-party providers are required to use the personal information shared with them only to perform services on our behalf and to treat your personal information as strictly confidential.

Where Renewi collects and uses your personal information in relation to the operation of waste management services on behalf of Wakefield Council (the “Council”), we are a processor and we share your personal information with the Council to enable the Council to respond to complaints or enquiries. The Council uses the personal information for its own purposes which are subject to the Council’s own privacy policy which can be accessed here: www.wakefield.gov.uk/site/transparency-notice.

During the course of our business, Renewi may sell or purchase assets. If another entity acquires us or all or substantially all of our assets or those of our ultimate parent company, Renewi plc, personal and non-personal identifiable information Renewi has collected about the users of the Site and its customers may be transferred to such entity. Also, if any bankruptcy or reorganisation proceedings are brought by or against us, such information may be considered an asset of ours and may be sold or transferred to third parties.

Links to third-party websites

We have links on the Site to third party websites such as Twitter.com, Facebook.com. These websites do not operate under this privacy policy. If you click on these links third-parties may collect your personal information. We recommend that you review the privacy policies of any third-party websites you visit.

Retention of personal information

Renewi retains the personal information collected on the Site only as long as necessary for the purposes for which it was collected, or as permitted by applicable law. In determining data retention periods, we take into account local laws, contractual obligations, and the expectations and requirements of our customers. When we no longer need personal information, we securely delete or destroy it.

Your Rights

We respect your right to access and control your personal information. We will respond to requests for personal information and, where applicable, will correct, amend or delete your personal information as required under applicable data protection laws.

If you wish to:

  • update, modify, delete or obtain a copy of the personal information that we hold on you;
  • restrict or stop us from using any of the personal information which we hold on you, including by withdrawing any consent you have previously given to the processing of such information; or
  • where any personal information has been processed on the basis of your consent, request a copy of such personal information in a suitable format

In any of the situations listed above, we may request that you prove your identity by providing us with a copy of a valid means of identification in order for us to comply with our security obligations and to prevent unauthorised disclosure of data.

We reserve the right to charge you a reasonable administrative fee for any manifestly unfounded or excessive requests concerning your access to your personal information, and for any additional copies of the personal information you request from us.

Policy Changes

We may change or update parts of this privacy policy in order to maintain our compliance with applicable law and regulation or following an update to our internal practices. Please check the Privacy Policy periodically for any changes that have been made. If we make changes we consider to be important, we will let you know by placing a notice on the Site.
